TITLE: Office Assistant – Library and Program Support
(Current Programs: Library, Academic Support, Occupational Therapy Assistant, Physical Therapist Assistant, Surgical Technology, and Med/Fire Rescue - Subject to change.)
QUALIFICATIONS:
- Previous administrative assistant experience preferred.
- Work experience in the program areas assigned a plus.
- Appropriate knowledge and background of o?ce procedures.
- Strong computer skills including data entry and word processing.
- Ability to work independently and use time wisely.
- Excellent organizational skills and an attention to detail.
- Good people skills, including phone technique, with an a?nity for helping students.
REPORTS TO: Academic Support Coordinator, Department Supervisor(s), Vice President
PERFORMANCE RESPONSIBILITIES:
- Manage the library’s main circulation desk.
- Assist students and staff by checking items in/out, answering inquiries, and connecting users with appropriate services and resources.
- Manage, administer, and securely proctor student entrance exams.
- Support the librarian in tracking, ordering, processing, and maintaining library materials and resources.
- Provide administrative support to faculty and program supervisors in assigned departments.
- Manage and track budgets and invoices for assigned departments.
- Coordinate Advisory Board meetings, including preparing and distributing agendas, managing logistics, recording and transcribing minutes, and sharing notes with stakeholders.
- Assist with student internship and clinical agreements by communicating with students and industry partners, monitoring agreement completion, and maintaining documentation, as requested.
- Support departmental operations through scheduling, event preparation, data entry, and organizational tasks.
- Assist faculty in tracking student progress, including mid-term conferences, grades, and other key information to promote student success.
- Support faculty during program accreditation or certification processes, as applicable.
- Consistently perform tasks with accuracy, thoroughness, and attention to detail.
- Perform other duties as assigned.
The specific duties required may change based upon the unique factors of the departments supported.
TERMS OF EMPLOYMENT:
12 month position with salary and benefits set by the Watertown School Board.
